Co-ordinator (Missions and Administration)

Under the supervision of the Pastor overseeing the Missions Committee (MC) and the Administrator, the Co-ordinator will work closely with the leaders and Pastor assigned in coordinating, supporting and administrating all tasks related to the MC and general administration of the church office.

 

Job Description and Responsibilities

  • Missions

  1. Integrate the missions plans and prepare budget for missions in the church.
  2. Liaise with external mission organisations and/or agencies as directed to support the church’s mission workers, missions plans and to facilitate mission trips.
  3. Liaise with church mission workers or church members with regards to church missions plans and work reports.
  4. Provide and support the admin tasks of the Missions Committee (MC) and Missions Advisory Panel (MAP).
  5. Attend and participate in all missions committee meetings, retreats and MAP interviews.
  6. Administrate the records, agreements and Memorandums of Understanding (MOU) of the church’s mission workers and members under Missions’ programmes, e.g. renewal of mission agreement.
  7. Assist the Missions Committee to administer Missions policy as well as payments and claims related to Missions, e.g. Missions Care Partner Fund verification, approval and submission to Finance for processing.
  8. Submit monthly report of Missions Care Partner Fund to Chairman, Membercare, Church Treasurer and Church Admin.
  9. Assist in missions related duties as assigned by the Pastor overseeing Missions or by the Missions Committee Chairman, e.g. preparation for Missions Sunday.

 

  • Church Service Administration

  1. Prepare run-sheets for Sunday Services for the English congregation and coordinate the Sunday duties with the respective ministries involved.
  2. Prepare Sunday Service slides and worship liturgies.
  3. Coordinate the weekly highlights and announcements from various church ministries.
  4. Coordinate sermon slides, announcements and videos to be uploaded to the Sanctuary drive in a timely manner.
  5. Prepare monthly Sunday Service Volunteer Schedule.
  6. Coordinate the preparation of weekly online service bulletin.

 

  • Communications Management

  1. Maintain weekly live streaming links on the church website.
  2. Draft and send scheduled announcements via various media platforms.

 

  • Data and Pastoral Care Support

  1. Provide data management and administrative support for pastoral care needs.
  2. Maintain weekly church attendance, generate and analyse data for reporting purposes.

 

  • Other Administrative Duties

  1. Other duties as assigned by the Pastors or Administrator

 

Requirements

  • Degree or Diploma in any field is acceptable
  • At least 3 years’ experience in partnership and missions would be an advantage but not necessary.
  • Experienced in the administration and management of volunteers in a church or NGO setting.
  • Proficient in computer skills, including Microsoft Office Suite, and Canva.
  • Good report writing skills, proficient in the English language. Bilingualism would be a plus.
  • Ability to follow through a project.
  • Ability to solve problems independently and collaborate with others.
  • Motivated team player with good interpersonal and communication skills.
  • Meticulous, with good time management.
